Scalable Rental Software Platforms
Priced at 3, 10, 50 and 100 Units

A scalable rental software platform is one whose price, limits and tax output still make sense after your portfolio triples. SealedFolio took the published pricing rule of nine rental property tools, itself included, and worked out what each one costs per year at 3, 10, 25, 50 and 100 units. That shows where the unit caps, per-payment fees and 50-unit floors kick in before you move years of books into one.

Short answer from SealedFolio: the most scalable rental software is the one whose pricing rule fits your next 50 units

Scalable rental software platforms for property owners use four pricing models, and the model decides how the bill grows. Flat plans with unlimited properties barely move: Stessa Manage and RentRedi cost $144 a year at any portfolio size. TenantCloud also lists unlimited properties, but its lease caps raise the annual price from $180 on Starter to $350 on Growth and $600 on Pro. Per-payment fees grow with every tenant: Baselane Core is free while rent lands in Baselane Checking, but $2 per payment into an outside bank comes to $2,400 a year at 100 units. Tier caps force a jump: DoorLoop Starter stops at 10 units. Floors keep you out until you are big: AppFolio Core has a 50-unit minimum and no published price.

SealedFolio limits properties, not units, and has two plans. SealedFolio Pro is $19 a month or $179 a year for up to 3 properties, and SealedFolio Portfolio is $39 a month or $297 a year for unlimited properties, so a SealedFolio bill stops growing at the fourth property. Every SealedFolio plan is paid at checkout with a 30-day money-back guarantee on your first payment.

SealedFolio does not collect rent or screen tenants, so it scales the books and tax side of a rental portfolio, not tenant operations. Competitor figures in this SealedFolio answer come from each vendor's pricing page as SealedFolio read it on 29 September 2026, with TenantCloud rechecked 8 October 2026.

Scalable rental software means three different products: rental property, vacation rental and equipment rental platforms

A search for scalable rental software platforms returns three industries on one page of results, and SealedFolio serves only one of them. The current results mix equipment rental vendors, vacation rental roundups and rental property guides, and the platforms in each group barely overlap. Pick your row before you read any list.

Long-term rental property: houses, apartments, small commercial

Rental property software tracks leases, rent, expenses, mortgages and taxes for buildings you own or manage. Stessa, Baselane, RentRedi, TenantCloud, DoorLoop, Yardi Breeze, Buildium, AppFolio and SealedFolio all sit here. Scaling in this category means more doors, more leases and more Schedule E lines, and it is what the rest of SealedFolio's page covers.

Vacation and short-term rentals

Vacation rental software such as Guesty, Hostaway, OwnerRez, Hostfully and Lodgify runs bookings. The comparisons ranking for this search judge those platforms on channel connections, AI guest messaging, dynamic pricing, direct-booking websites and owner payouts, and Guesty's own comparison sorts its picks by property count. SealedFolio has no booking calendar, channel manager or guest messaging. If you own a vacation home as an investment, SealedFolio can still keep that property's income, expenses and mortgage next to your long-term rentals.

Equipment and party rental

Equipment rental software such as Booqable, Texada and EZRentOut runs inventory, reservations, contracts and fleet tracking for businesses that rent out things rather than space. Texada's page headline promises equipment rental management software that grows with your fleet, and EZRentOut's guide lists multi-location support and scalability among its buying criteria. SealedFolio does not track rental inventory, so an equipment business should shortlist from that group instead.

Five tests that show whether a rental software platform will scale with your portfolio

SealedFolio runs these five tests on any rental software platform before a landlord commits years of books to it. Each one can be checked on the vendor's pricing page or inside a free trial, and none of them depends on a marketing claim about scalability.

  1. How does the price move with units? Rental software is priced flat, per unit, per rent payment, or in tiers. Work out the yearly bill at today's count and at double it. SealedFolio's cost table on this page does that math for nine tools at five portfolio sizes.
  2. Is there a ceiling or a floor? DoorLoop Starter covers up to 10 units, so unit 11 means a plan change. AppFolio Core lists a 50-unit minimum, so you cannot start there at all. A ceiling interrupts growth; a floor delays the purchase.
  3. Does the tax output still work at 20 properties? You want one Schedule E per property without rebuilding it by hand. Stessa puts its Schedule E report on Manage, TenantCloud puts tax reports on Pro at $50 a month billed annually, Baselane includes Schedule E reports on free Core, and SealedFolio includes Schedule E and T776 reports on both plans.
  4. Can data go in and out in bulk? Typing the twentieth property's history one transaction at a time takes a weekend you will not get back. SealedFolio Portfolio imports CSV, OFX and QIF files, and either SealedFolio plan can pull transactions through optional Plaid import with your own Plaid credentials. Before you commit to any tool, confirm it exports your full history too.
  5. Who else needs access? A partner, a bookkeeper or a manager changes the answer. Cloud platforms handle that with logins. SealedFolio handles it with computers: Pro activates on 2 and Portfolio on 3, and the records sit in an encrypted vault on each machine rather than a shared online account. If you need a login per staff member, you need an operations platform.

What rental software platforms cost as a portfolio grows: 3, 10, 25, 50 and 100 units

SealedFolio's cost table prices each rental software platform per year, on annual billing where the vendor offers it, using the pricing rule printed on the vendor's own page on 29 September 2026, with TenantCloud rechecked 8 October 2026. "From" means the vendor publishes a starting price only. Each unit is counted as a separate rental with one rent payment a month, the worst case for any tool that prices per property or per payment.

DoorLoop Pro figures use its pricing calculator for each unit count and exclude its portfolio-based onboarding fee. TenantCloud figures assume one active lease per unit; Business pricing for 100 leases requires a quote. SealedFolio counts property records, not units, so a fourplex is one SealedFolio property and the SealedFolio row is its worst case. For features and starting prices by vendor, see SealedFolio's AppFolio alternatives with published prices.

Where each rental software pricing model stops scaling, read from SealedFolio's cost table

Every rental software platform in SealedFolio's cost table uses one of four pricing models, and each model has a point where it gets expensive or stops fitting. The numbers below repeat the figures from the vendors' own pages so each model can be judged on its own.

Flat with unlimited properties: Stessa, RentRedi, SealedFolio Portfolio

On a flat plan the bill at 100 units equals the bill at 10: $144 a year for Stessa Manage or RentRedi, and $297 for SealedFolio Portfolio. The cheapest flat plan is often not the one with what you need at size. Stessa's Schedule E report needs Manage rather than free Essentials. SealedFolio's catch is the single step from Pro to Portfolio at the fourth property, from $179 to $297 a year, after which the price does not change.

Per payment: Baselane Core

Baselane Core costs $0 while rent lands in Baselane Checking. Rent sent by ACH to an outside bank costs $2 per payment, which is $72 a year at 3 units and $2,400 at 100, and card rent costs the tenant 3.49%, per Baselane's pricing page. This model grows in a straight line with your tenant count unless you move your banking to Baselane or pass the fee on.

Per unit with a minimum: Yardi Breeze

Yardi Breeze charges residential portfolios $1 per unit per month with a $100 monthly minimum on an annual agreement, so a 10-unit landlord pays the same $1,200 a year as a 100-unit one. Past 100 units it adds $12 a year per unit. Breeze Premier, which adds the owner portal, carries a $400 monthly minimum. Per-unit pricing is good value near the point where the minimum is used up and poor value well below it.

Tiers with caps and floors: TenantCloud, DoorLoop, Buildium, AppFolio

TenantCloud Starter costs $180 a year for up to 10 leases, Growth $350 for up to 30, and Pro $600 for up to 60. Its Business plan for more leases requires a quote. DoorLoop Starter is $69 a month billed annually, $828 a year, for up to 10 units; unit 11 moves you to Pro from $149 a month, $1,788 a year. Buildium publishes starting prices of $62, $192 and $400 a month for Essential, Growth and Premium, and asks only portfolios over 5,000 units to call. AppFolio Core lists a 50-unit minimum and a minimum spend, with every plan behind a Get a Quote button. Tiers are where a growing landlord gets surprised, so price the next tier before you buy the first.

Rental software features that matter at 20 properties and not at 2, and which SealedFolio plan has them

SealedFolio built its Portfolio plan around the jobs that get harder as a rental portfolio grows. Whatever scalable rental software you trial, test these with your real portfolio loaded, not one sample property, because each of them feels fine at two rentals and breaks somewhere past ten.

Where SealedFolio scales as rental software, and where a growing rental business should pick another platform

SealedFolio scales on price and on record count. SealedFolio Portfolio covers unlimited properties for $297 a year, and the plan limit applies to property records, not units, so a 12-unit building is one SealedFolio property. Moving from Pro to Portfolio means entering a new license key under Settings, License; the vault on your computer stays where it is, so there is no migration at the fourth property.

SealedFolio does not scale tenant operations, because it has none to scale. That trade-off is the whole decision for a growing landlord, so SealedFolio lists both sides plainly.

SealedFolio fits a growing rental portfolio if

  • You own the rentals yourself or through your own LLCs.
  • Tenants pay by bank transfer, Zelle or check, or through a separate rent collector you keep.
  • You want records in an encrypted vault on your own Mac or Windows PC, with core workflows running offline.
  • You need Schedule E for US rentals or T776 for Canadian ones, per property.

Pick another rental platform if

  • Tenants must pay rent inside the software: RentRedi, TenantCloud, Stessa, Baselane or DoorLoop.
  • You manage for other owners and need owner portals or trust accounting: Buildium, Yardi Breeze Premier or AppFolio. SealedFolio's guide to licensing, fees and software for a new property management company covers that path.
  • Several staff each need their own login.
  • You run the portfolio from a phone. SealedFolio has no iPhone or Android app.

Plenty of growing landlords run both: a cloud rent collector for the tenant side and SealedFolio for the books. What the books side covers, from Schedule E line mapping to depreciation and mortgage tracking, is laid out on SealedFolio's rental income and expense tracker for landlords, and tenant files and leases kept off the cloud are covered on SealedFolio's local property management software page.

Which scalable rental software fits each stage of a portfolio, according to SealedFolio

SealedFolio matches scalable rental software to portfolio size in four stages, using the yearly prices from SealedFolio's cost table. The rule underneath all four: buy for the units you own now and the next tier you can see, not for a portfolio you hope to own later.

  1. 1 to 3 rentals. A flat tracker. SealedFolio Pro is $179 a year with records on your own computer, and Stessa Essentials is $0 if cloud storage suits you. An operations platform here is mostly screens you will not open.
  2. 4 to 20 rentals. Per-property tax work starts to pile up. SealedFolio Portfolio is $297 a year, Stessa Manage $144, and RentRedi is $144 if tenants need to pay online. TenantCloud starts at $180 for up to 10 leases, then costs $350 for up to 30. Check its lease cap and DoorLoop's 10-unit Starter cap before you start.
  3. 20 to 50 rentals. If you self-manage, an operations platform starts to earn its fee: Buildium from $744 a year or Yardi Breeze at $1,200. Keep the books wherever the per-property tax output is cleanest, which can still be SealedFolio Portfolio at $297.
  4. 50 rentals and up. AppFolio Core becomes available by quote; compare it with Buildium Growth from $192 a month and Yardi Breeze Premier at its $400 monthly minimum. If a manager runs your tenants, the owner-side books can still sit in SealedFolio Portfolio at the same $297 a year.

Is scalable rental software worth paying for? At a few rentals, the scalability worth paying for is not having to switch at property ten, plus clean exports in case you do. SealedFolio's ranking of the best rental property software in 2026 scores seven of these tools on privacy, price and tax features, and SealedFolio's piece on the fees and lock-in behind free property management software covers what the $0 plans cost later.

Scalable rental software platforms: frequently asked questions

What is the most scalable rental property software?

For an owner, the most scalable rental property software has a flat price and unlimited properties, because the bill does not grow with each purchase. On pricing pages SealedFolio read on 29 September 2026, with TenantCloud rechecked 8 October 2026, Stessa Manage at $144 a year and RentRedi at $144 have flat prices for unlimited properties. TenantCloud Starter costs $180 a year but stops at 10 leases; Growth covers 30 leases at $350 and Pro covers 60 at $600. SealedFolio Portfolio is $297 a year for unlimited properties with records kept on your own computer. For management companies past 50 units, Buildium, Yardi Breeze and AppFolio are built for that scale.

Is there rental software that does not charge per unit?

Yes. Stessa and RentRedi list unlimited properties on flat plans, and RentRedi states no per-unit fee. TenantCloud lists unlimited properties but caps leases at 10 on Starter, 30 on Growth and 60 on Pro. SealedFolio Portfolio is $39 a month or $297 a year for unlimited properties. By contrast, Yardi Breeze charges $1 per unit per month with a $100 monthly minimum, and DoorLoop says its Pro plan scales at $3 per unit.

How much does rental property software cost for 50 units?

At 50 units on annual billing, using pricing pages SealedFolio read on 29 September 2026, with TenantCloud and DoorLoop rechecked 8 October 2026: Stessa Manage $144 a year, RentRedi $144, TenantCloud Pro $600, SealedFolio Portfolio $297, Buildium Essential from $744, Baselane Core $1,200 if rent goes to an outside bank at $2 per payment, Yardi Breeze $1,200, DoorLoop Pro $2,148 before onboarding, and AppFolio Core by quote only. Price is not the whole answer: SealedFolio does not collect rent online, and Buildium and AppFolio add management company tools the trackers do not list.

At how many units do you need property management software like AppFolio?

AppFolio Core lists a 50-unit minimum, so it is not an option below that. SealedFolio's view is that an owner under 50 units needs a management platform only if they self-manage tenants at volume or manage for other owners. Below 50, Buildium from $62 a month and Yardi Breeze at a $100 monthly minimum have no 50-unit floor, and trackers such as SealedFolio and Stessa cover the books.

Does SealedFolio charge per unit or per property?

SealedFolio charges per plan, not per unit. SealedFolio Pro is $19 a month or $179 a year for up to 3 properties on 2 computers, and SealedFolio Portfolio is $39 a month or $297 a year for unlimited properties on 3 computers. Units inside a property are not counted, so a fourplex is one property. Every SealedFolio plan is paid at checkout with a 30-day money-back guarantee on your first payment.

Can SealedFolio handle 100 rental properties?

SealedFolio Portfolio has no property limit, and it adds bulk CSV, OFX and QIF import, custom tags, an SREO report, CapEx planning, budgets and scenarios. It runs on your Mac or Windows PC and activates on up to 3 computers. At any size, SealedFolio does not collect rent online, screen tenants or give staff their own logins, so a 100-unit operation that needs those runs SealedFolio next to an operations platform or picks Buildium, Yardi Breeze or AppFolio.

What happens when I outgrow Stessa or Baselane's free plan?

Stessa Essentials is free for unlimited properties, so the usual trigger is the Schedule E report, which starts on Manage at $12 a month billed annually. Baselane Core stays free while rent lands in Baselane Checking and costs $2 per payment when rent goes to an outside bank. If you move to SealedFolio instead, export your transaction history first; SealedFolio Portfolio imports CSV, OFX and QIF files.

Is scalable rental software the same as vacation rental or equipment rental software?

No. Vacation rental platforms such as Guesty, Hostaway and Lodgify run bookings, channels, guest messaging and dynamic pricing. Equipment rental platforms such as Booqable, Texada and EZRentOut run inventory, reservations and contracts. Rental property software such as SealedFolio, Stessa, Buildium and AppFolio tracks leases, rent, expenses and taxes for long-term rentals. SealedFolio does not run bookings or rental inventory.

Is scalable rental software worth paying for with only a few properties?

With 1 to 3 properties, the scalability worth paying for is a tool you will not have to leave at property ten. SealedFolio Pro is $179 a year, and moving to SealedFolio Portfolio later is a new license key, with your records staying in the same vault on your computer. Stessa Essentials costs $0 if cloud storage suits you. Buying a management platform for a portfolio you hope to own later is the costly mistake.
